RoadDesk is operated by FluxorAI (“FluxorAI,” “we,” “us”). This policy explains what information we collect when fleets, drivers, and vendors use RoadDesk, how we use it, and how long we keep it.
Who this policy covers
RoadDesk is business software. Our customers are trucking fleets (“fleets”). Fleets add their own users, drivers, trucks, and vendors to RoadDesk. When we process driver and vendor information, we do so on behalf of the fleet that provided it and under our agreement with that fleet.
Information we collect
- Fleet users: names, work email addresses, phone numbers, roles, sign-in details, approval and escalation settings, and activity in the dashboard.
- Drivers: names and mobile phone numbers, the truck a driver is assigned to, and what drivers tell us by phone or text during a breakdown, including photos they choose to send.
- Trucks and locations: unit numbers, VINs, make, model, year, and the location of a truck when it breaks down, whether the driver gives it to us or it comes from the fleet’s systems.
- Calls and messages: recordings and transcripts of calls RoadDesk handles with drivers, vendors, and fleet managers, and the content of text messages sent to and from RoadDesk.
- Vendors: business names, phone numbers, addresses, service areas, contact names, negotiated rates, and the quotes, ETAs, and invoices vendors provide.
- Technical data: IP addresses, browser and device information, and logs created when people use our website and dashboard.
How we use information
- To run breakdown cases: identify the driver and truck, confirm the location, triage the problem, call vendors, collect quotes, request approvals, and send updates.
- To show fleets a record of each case, including timelines, recordings, transcripts, and reports on downtime and spend.
- To provide customer support and respond to questions.
- To keep RoadDesk secure, prevent misuse, and fix problems.
- To improve how RoadDesk handles calls and cases.
- To meet legal obligations and enforce our agreements.
We do not sell personal information.
How we share information
We share information only as needed to provide RoadDesk:
- With the fleet: case details, recordings, transcripts, and messages are available to the fleet that owns the case.
- With vendors: the vendor selected for a job receives the details needed to do it, such as the truck, its location, the case number, the approved amount, and a contact number for the driver.
- With service providers: companies that host our systems or provide telephone, text messaging, speech, and AI services to us. They may use the information only to provide those services.
- For legal reasons: when required by law, or to protect the rights, safety, or property of our users, the public, or FluxorAI.
- In a business transfer: as part of a merger, acquisition, or sale of assets, subject to this policy.
Mobile phone numbers and SMS opt-in consent are never shared with or sold to third parties or affiliates for marketing purposes.

How long we keep information
- Fleet account, user, truck, driver, and vendor records are kept while the fleet’s account is active.
- Case records, call recordings, transcripts, and messages are kept while the fleet’s account is active so the fleet can review its history, unless the fleet asks us to delete them sooner.
- When a fleet closes its account, we delete or de-identify its data within 90 days, except where we must keep it longer to meet legal, tax, or accounting obligations or to resolve disputes.
- Backups are overwritten on a regular schedule and are not used to restore deleted data except to recover from an incident.
Security
We protect information with access controls, encryption in transit, and separation of each fleet’s data. No system is perfectly secure, so we cannot guarantee that information will never be accessed without permission.
Your choices
- Drivers can reply STOP to any RoadDesk text to stop receiving texts.
- Drivers and vendors who want to see, correct, or delete their information can ask the fleet they work with, or contact us and we will work with that fleet.
- Fleet users can update their own details in the dashboard or by contacting us.
Depending on where you live, you may have additional rights under privacy law. Contact us to make a request.
Children
RoadDesk is meant for businesses and is not directed to anyone under 18.
Changes to this policy
We may update this policy from time to time. We will change the “Last updated” date above and, for significant changes, notify fleet account owners.
